Now it is not feasible to go through every email he sent and save those pictures on his system. He is looking for an easy method to export pictures from Office 365.

The two scenarios mentioned here are quite common these days. As, OneDrive, allows storing all files of Office 365, is often used to save image files. Now, if any Office 365 user, just like the people cited in the scenarios, is required to save pictures from Office 365, what would they do? This crucial question is the topic of discussion in this write-up. Read on to know the solution to this issue.

Why Office 365 Image Backup is the Need of the Hour?

By the term Office 365 backup, we understand saving Office 365 data in some other location, preferably in a local storage. When we say to download pictures from Office 365, it means the same as having an image backup or exporting those images. Image backup is important since storing your images in one place is not safe anymore. Though the Cloud is thought to be a secure option to store data, Cloud data can be compromised too. Having a local backup means having another option for data access in case some accidents happen. Along with this, if someone wants to share their images with others or sync with some other platform, they have to export the images from Office 365 OneDrive storage.

Is There Any Manual Technique Available to Export Pictures from Office 365?

The question is obvious since everyone loves to implement manual techniques. However, the readers will be disappointed if they want only to save pictures from Office 365 storage using the manual technique. The only manual approach that exists for taking a backup of O365 export is eDiscovery PST Export Tool, however, that method cannot be applicable in this case. eDiscovery only downloads emails and here, we are talking about saving photos from Office 365 in the local system. So, it is obvious that the method is not capable of saving only the images stored in Office 365.

Here are two user scenarios that describe the need to save images from the M365 suite:

Saving pictures from Office 365 OneDrive to your local device is a straightforward process.  Here are the steps for both the web version and the desktop sync client of OneDrive:

Scenario 1. Save Pictures From OneDrive Web Version

Step 1.  Open your web browser and visit (https://onedrive.live.com/). Then you have to use the Office 365 account credentials to log in.

Step 2. Navigate to the folder containing the picture you want to save.

Step 3. Now, there can be two scenarios, this includes:

  • Single image download: You have to right-click on the image and click on the Download. button The image will be downloaded to your default download location (typically the Downloads folder).
  • Multiple images download: You have to select the images by clicking the small circle in the upper-right corner of each image. Once selected, click on the “Download” button that appears at the top of the page. The selected images will be downloaded as a ZIP file, which you can then extract.

Scenario 2. From OneDrive Desktop Sync Client

Step 1. In the very first step, you need to make sure that you have the OneDrive desktop sync client installed on your PC. Else you can download it by visiting this URL – https://www.microsoft.com/en-us/microsoft-365/onedrive/download

Step 2. Open the OneDrive application on your PC or Mac and sign in with your Office 365 account.

Step 3. Choose the folders you want to sync to your local device. Once synced, these folders and their contents will appear in the OneDrive folder on your computer.

Step 4. Open the OneDrive folder on your computer (usually found in your user directory).

Step 5. Navigate to the folder containing the picture. Drag and drop the picture to your desired location on your computer, or right-click on the picture select “Copy” and then paste it into the desired location.

Limitations of Manual Methods and Why Users Should Tool

  • A time-consuming and lengthy process, as it requires you to check each of the data manually before saving.
  • Since there is human involvement There are potential chances of human errors.
  • You can not export data of multiple users due to Inadequate bulk operations.
  • After exporting data manually you can not generate a report for the same.
  • To save pictures from multiple accounts, you need to have access to each mailbox which creates major security concerns.

Software Steps to Export Pictures from Office 365 Account 

Step 1. Launch the software and select Office 365 as the source and File system as the destination platform.

Step 2. Enable mail categories such as emails, contacts, calendars, and documents. Now apply the date filter for each mailbox category.

Step 3. Navigate to the source tab, and provide source Office 365 admin credentials i.e. Admin email and application ID. Clickon the validate button to validate the required permissions.

Step 4. Navigate to the destination tab, and set the destination path and location to save pictures from Office 365. Click on the validate button to validate the required permissions.

Step 5. Create a mapping to export bulk data of user accounts locally. Choose any of the provided options such as Fetch Users, Import CSV, and download Template.

Step 6. Select the user accounts that need to be processed. Click on the Start Export button to initiate.
