Export Outlook 2007 Categories
When using Microsoft Outlook, all color categories including customized as well as defaulted categories to be exported in it. Let’s do the following steps as given below:
Step-1: Creating a new note in Outlook
- For Outlook 2007, Click on File menu, select New option and choose Note
- For Outlook 2010, Choose the New Items, click on More and then, hit on Note.
Step-2: Under a new note, enter some text message in it. In this situation, you can type the text of all Categories.
Step-3: Now, Click on the button at the upper-left corner of the Note window, and select Save & Close tab in Outlook 2010. Otherwise, Close in MS Outlook 2007
Step-4: Then, move to the Note view by clicking on the Note icon under the Navigation Pane.
Step-5: After that, select a note that has created before, and choose the Categorize option.
- For Outlook 2010, under Home tab, select the All Categories option from Tags group
- For Outlook 2007, Go to Categorize dialog box, click on All Categories within the Toolbar.
Step-6: On Color Categories dialog, the color categories are enabled that you want to export, and then, click OK button.
Step-7: Finally, Drag the note icon into the specific folder of Windows for saving it. This particular note will be saved in .msg file format

Import Categories Outlook 2007, 2010
Before importing the color categories into Microsoft Outlook, a .msg file of the note with color categories is needed. Now, follow these below steps:
Step-1: In the Navigation Pane, Click on the Note icon for moving to the Note view
Step-2: Now, Drag as a .msg file of particular note using color categories into MS Outlook
Step-3: After that, switch to the Mail view by selecting the Mail option within the Navigation
Pane
Step-4: Right click on a Navigation Pane, and then, choose the Data File Properties from the menu bar
Step 5: Under the Folder Properties dialog, Choose the Upgrade to Color Categories option
Step 6: Now, the warning message comes out, and afterward, click on Yes button
Next, all color categories will be added in .msg file of note and they are copied & imported into MS Outlook
Step 7: In Folder Properties dialog box, click the OK button.
Note: The Manual Steps May Different in Outlook 2013 & 2016.
Points to Remember:
- If the type of your email account is SMTP that does not support the Note, for e.g. Gmail, this manual trick is not available
- You can also update all the color categories only if your email folder and the pasted note both are belonging to same Outlook data files ( PST or OST file).
