Steps to View & Export Outlook PST File

A guide to view data in a PST file without Outlook. Also, print & save PST emails with attachments into PDF.

Pre-Requisites

STEP 1

Go to Start » SysTools Outlook PST Viewer Pro

STEP 2

Next, click on the Add File button as highlighted on the screen to add the PST files that you want to view & save.

Next step is to select the PST files from the system for conversion. Here you will find two modes to select the PST file.
Choose preferred mode for PST file selection and add the file into the application. There are two Add File options:

Select the radio button corresponding to "Select File" labeled text.

Click on the "..." (three dots) button to browse the PST file.

Navigate and select the destination and click on "Open" Button.

Now, the selected file will be displayed in the text box corresponding to the "PST File" text.

STEP 6

If your emails are encrypted with any encryption like SMIME or OpenPGP, there is an option to remove the respective encryption from the PST file. Click on the checkbox to Remove Encryption

It will open a dialogue box to enter encryption details. Choose it for the file decryption.

  • Single Key
  • Multiple Key

For Single key: Select Encryption type (SMIME / OpenPGP) and key. Also enter the password for the key. Then, Click Done.

For Multiple key: Select a CSV file having the key paths of all the encryption keys. For creation of CSV file, a sample is provided for assistance.

STEP 7

Then, select the Scan Mode. There is two scan modes offered: Quick Scan and Advanced Scan.
Note: If the corruption of PST file is minimum, Quick Scan will scan all the files in the PST file. In case of higher file corruption, select Advanced Scan option.

Now, click on Add button. It will start scanning all the files in the PST file.

Select the radio button corresponding to "Search File" labeled text.

STEP 5

Now, for searching the PST file, there are two options offered:

  • Search Selected Drive
  • Search All Drive

In Search Selected File, you need to choose a particular Drive (C:\, D:\,https://www.systoolsgroup.com) to search the PST file within selected drive.

If you don't know the location of PST file, then choose the option of Search All Drive. It will search the whole system for PST file, and will list it.

Now, click on Search button. It will search the PST file within the whole system or selected drive as particulars set.

STEP 6

If your emails are encrypted with any encryption like SMIME or OpenPGP, there is an option to remove the respective encryption from the PST file. Click on the checkbox to Remove Encryption .

STEP 7

Then, select the Scan Mode. there is two scan modes offered: Quick Scan and Advanced Scan.

Now, click on Add option. It will start scanning all the items in the PST file.

After the scanning of PST file is completed, a dialogue box will appear asking to save the scan for future. Choose Yes or No as required.

View Outlook PST Items

After scanning, the software loads the entire PST file items and you can preview it with integrated Outlook graphical interface.

You can view emails in normal view by clicking on Normal Mail View tab as shown on screen.

The email message can also be previewed in Hex format. To view the email in Hexa-decimal format, click on Hex tab.

To view the Properties of an email, there is an option of Properties view. It previews the addtional details of the message.

An additional view is available to view the Message Header details. Click on Message Header tab to view the details.

Next, to view the properties of an email like received date, sent date, email id's, attachments info etc. Click on the MIME option and the screen will appear as shown.

Another available view for the file is the HTML format. Choose the HTML tab to view the email in HTML format.

Additionally, in order to view the file is the RTF file format. Choose the RTF tab & view email with is original formatting in RTF view.

In order to view the attachments of any specific email, simply select that mail and click on the Attachments tab to view the attachment.

Search Mail within Scanned PST file: Find the specific email within single or multiple scanned PST file with the help of advance Search option. As shown, software provides a number of searching options for user like Operator (AND, NONE, OR) and Criteria (Mail & Attachments), click on Add Criteria option to add different search criteria:

To search specific data, choose an operator and enter an email id. After that click on Search Icon.

You need to choose temporary path here, our product will save indexing data. So you must have full access on this folder path. How to provide full access? Watch video.

Once the search completed, you can view all your search data. Now, to remove duplicate data items select the data and click on the Remove Duplicate button.

You can also export the search result. Choose the result and click on the Export button.

STEP 11

There is an option to export selected emails from a folder. For this, select files you want to export and then, click on Export Selected option

STEP 12

Click on Export button to print or save PST to PDF.

STEP 13

Now, choose PDF option.

Click on Adv. Settings to add additional settings while converting the PST file to PDF.

The Advanced Settings is categorised into four sections:

  • General Settings
  • Page Layout
  • Attachment
  • Bates Number

Under the General Settings, following options are available:

  • Naming Convention This option offers multiple patterns for naming the output PDF file.
  • What is File Naming Convention and How Naming Options are Useful?
  • Categories Users can export the desired categories to the output PDF file.
  • Date Filter Option: This option provides user to filter out the emails stored on Outlook PST according to the specific Date.
  • Include/Exclude Message Header: User can check mark the box as per requirement.

On the Page layout menu, different options are available:

  • Margin : This feature within Outlook PST file to PDF converter allows user to set the PDF Page Margin (Top, Left, Bottom, Right) which can be of minimum 2.0 mm to maximum 10.0 mm
  • Paper Layout : It allows users to specify Paper Layout such as Paper orientation in Landscape or Portrait & Page Size as Letter A4 & A3
  • Header and Footer : It allows users to set Header and Footer note into the page.

Under the Attachment option, different attachment setting options are provided:

  • Attachment on Pin : This feature allows users to add attachments in PDF as Pin.
  • Append Attachment : This feature helps users to convert attachment file in PDF format and append it at the end of email message.
  • Save Attachment : This feature allows users to save attachments in its original file format.

Under the Bates Number, following options are available:

  • Bates Number Format : This feature allows users to specify the Bates Series for file in PDF according to the Starting Number, Postion.
  • Date Stamp : This feature allows users to specify the Date in PDF according to the postion.

STEP 14

Click on Browse and navigate a location to save the resultant PDF file. And click OK:

Click on Export button to start the file conversion process.

An 'Export Process Completed' window will appear on the screen confirming the successful export of the data. Click on OK:

The Software shows you the export detail. Click on Save to export the detail to a .csv file.

Browse the folder to save the .csv file and enter the name to save the file. Click on Save:

The following prompt will be generated and showing the report is saved successfully. Press OK.

Navigate the location and preview the Resultant PDF files.

STEP 13

If you need to print the PST file data, then choose Print option.
