How to Compress a PDF File with Simple Procedure

This is the stepwise procedure to know how to reduce or compress the size of large PDF files using SysTools PDF Toolbox and how to apply the compression process on multiple PDF documents in a simple way.

STEP 1

You will be able to see the SysTools PDF Toolbox Software listed on your machine’s Start menu list after installation.

STEP 2

Click on "COMPRESS". This option allows you to compress the PDF Document(s).

STEP 3

Select the PDF file(s) by clicking on "Add File(s)/Add Folder" option respectively.

STEP 4

Select the PDF files that you want to Compress. Click Open:

Now the screen will display all the selected PDF files. The tool also allows you to remove any of the selected PDF file(s).

STEP 6

Select the destination folder path where you would want the output to be stored.

STEP 7

After selecting PDF files, click on "Next" button to continue.

Options: Choose the details for PDF Compression

STEP 9

Compression Option:

Uncheck "Compress Images" option if you don’t want the images to be compressed.

STEP 10

Click on "Advance Settings" button to choose advanced settings for image compression algorithm.

STEP 11

After clicking on "Advance Settings" option, a dialog box for Advance Settings option will appear as follows:

Choose "Image Compression Algorithm" by clicking on the respective radio button provided for it.

STEP 13

Default Button will reset all the values to default value.

Threshold values can be changed by adjusting the position of the scroll bar. Click on "OK" button to save the settings.

STEP 14

Option Page:

Select Pages: On which Operations are to be performed.
Choosing Page Numbers: Only those pages will be processed.
Select First Radio Button, and select either of the options: All, Odd, Even.

Second Radio Button: Mention page range by selecting the starting page number and end page number.
Select Third Radio Button: For specifying the page numbers. Mention page numbers in comma separated values. After this, click on "Next" button to continue.

STEP 15

Now the software will show you a summary page containing the information selected in the previous steps.
Click on "Start" button to begin the process.

STEP 16

After completing the process, the software will display a confirmation screen as follows:

User can view the extracted text file by moving to the destination location chosen for saving the output file.

STEP 18

User can view the compressed PDF files by moving to the output file location and open it with the help of PDF Reader.
