How to Open, Search, Print & Export MSG Files Without Outlook?

MSG Viewer Pro, designed with advanced features allows viewing MSG files without MS Outlook installation required. Follow this simple guide to know the steps to view, search, export and print MSG file email messages and save them in PDF format for further use.

STEP 1

After downloading the software, start the installation process. You can select any language from the list (English, French, Japanese, Portuguese, Spanish, Chinese, Deutsch, Italian, Russian, Indonesian, Netherland, Danish, Hungarian, Norwegian, Polish, Swedish, Turkish, Vietnamese, Czech, Thai) as per your requirement.

Go to Start » All Programs » SysTools® MSG Viewer Pro » The first window of the software will appear:

STEP 2

On the Explorer Window, you can easily navigate to the location where your MSG files are saved at:

Once the file is selected, emails of the corresponding MSG file can be viewed on the software preview panel under multiple views like; Normal Mail View, Hex View, Properties View, Message Header View, MIME View, HTML View, RTF View, & Attachments.

Search MSG file with different criteria: Mail, Calendar, Attachment
Find MSG file with different operators: AND, OR, NONE.So, simply enter the search keyword and click on the Search Icon to perform the search

The tool comes with an option to remove duplicate. So, if you find redundant data items then simple choose the items and click on the Remove Duplicate option.

Along the duplicate removal one can also export the search item directily from search result. Just choose the search result and click on the Export button.

STEP 5

You can choose the emails from the MSG file to be exported to PDF file type by selecting them. After selecting the required emails, right click on it & select the Export option. The MSG Viewer Pro version can convert thousands of MSG file emails into a PDF file each.

Export MSG File:

Alternatively, the entire folder of MSG file can be exported by, first, selecting the folder & then clicking on the Export button from the navigation bar.

This software provides two Export Options:

Convert and export MSG email into PDF format., and
Print MSG emails

Click on the "Advanced Settings" button to change PDF settings.

On the Advanced settings, user can specify the settings for MSG to PDF file conversion. For this, the software gives three different options to arrange PDF file efficiently.

In General Settings option you will get the following options:

Naming Convention: You can select the naming convention for the final converted files such as subject, subject + date, etc.
Categories: This includes the mails, contacts, calendars, task, etc.
Date filter option: You can provide the from date and to date interval in order to perform the selective export.

In Page Layout option you will get the following settings:

Margin: It provides option to set Top, Bottom, Right, Left margin of each page with a minimum of 2.0mm to maximum of 10.0mm.
Paper layout: In Paper layout settings, you can choose Paper Orientation and Page size.
Header and Footer: In this setting, user can save the Header Text and Footer Text within the PDF pages.

You can choose Landscape or Portrait in Page Orientation and A3, A4, Letter for Page size as per requirement.

In Attachment option, you will get the following options:

Save all Attachments on pin: This option is provided to save email attachments on pin with their corresponding email.
Append Attachments in PDF body: By using this option, user can save attachment with the PDF of its correspondng email message.
Save all Attachments in their native format: It helps users to save all the attachments with their original file format.

In Bates Number option you will get the following settings.

Bates Number Format: You can set Start Number, its Increment by value and its Position accordingly.
Date Stamp: You can choose the Format and its Position as per requirement.

Browse saving location to save the output PDF files. Click on the Export button to initiate the MSG to PDF conversion process:

Conversion completed. Click OK:

An Export Report is generated. This report can further be saved in CSV format file.

Select the destination location to save the export report. Click Save:

Click OK after saving the Export Report.

Now you can verify the items exported after using MSG Viewer Pro software.
Go to the location where you saved the PDF files on your machine
You can observe that the emails got saved in PDF file type and the name of the emails is saved by its subject line due to selecting "Subject" as the preferred Naming Convention.

STEP 15

To view the PDF file, open it with Adobe Acrobat Reader. To get the attachment of email click on the Attachment Icon (Paper Clip Icon) given at the bottom left corner of the document as shown below.

View the attachment shown in the section. Also you can open it with the appropriate program.
