Using SysTools IMAP Backup Software for Mac.
Application Pre-Requisites
Click on Finder » Applications » SysTools Mac IMAP Backup Software.
Once the software is launched, then, read the instructions and click on the Continue button.
The main home screen of the tool is available for use. Here you need to Activate the tool so click on the tab with the Key icon.
Note: You can continue with the demo version but some advanced features will be disabled.
A product activation popup appears on top of the orginal window. Inside the product activation box you can check the activation status.
Paste the Activation key inside the white space area.
After Pasting the Key Click on Activate button.
Another popup with the text License activated sucessfully appears on top of the activation box. Click on OK this converts Demo version to Full and closes the activation box too.
Double check the Activation Status by opening the Activation box again. Here you can see a green colored Activated text.
Note that the Activation code is not visable.
Click on Cancel to continue with the next steps
Scroll through the IMAP Host options and select the one you require.
Type in the Email address and App password.
Note: The order of account addition should be Host > Email > App Password. If you change the Host after adding credentials, they reset on their own.
Then Click the Login button.
If the credentials are correct the email address should appear inside the User Backup List.
If you have not started the backup you can remove the account by selecting it and clicking the Remove button.
User should disappear from the Backup List.
The latest version of the tool allows multi account addtion. The accounts can be from the same host or belong to different hosts.
Click on Next to proceed with the backup.
Note: One account can't be added multiple times.
You arrive at the main backup screen
Towards the left hand pane you can see the email accounts added previously.
Toggle the arrow next to the email and expand its folder structure.
By default every folder is pre selected however, you can change the default selction and unmark the folders you don't wish to backup.
Click on the blue tick infront of the folder you want to exclude from the backup.
Note: Depending on the backup format the steps and settings vary slightly. So further steps are divided based on the choice of the output format. Proceed accordingly
By default the PST option is preselected. So unless you changed the selections you need not change the radio button settings.
Click on Advance Settings
Inside the PST Advance Settings only the General Settings Tab is available
You can specify the following filters and click on Save.
Delete After Download: To delete emails from the server once the process is completed successfully.
Click on the Change button to browse the final destination of your resultant files. You can also create a New Folder by clicking on it.
On clicking the Start Backup button a license quota consumption alert pops up on the screen. It will show the number of available licences and the number of consumed licenses.
Click on Continue to proceed.
Note: This does not appear for demo version. Once a licence is consumed for an account you won't need additional licenses to backup data from the same account.
In the backup progress screen you can track the event in real time.
It displays the total mail count and the fail count.
A specific status criteria also exists whose default value is In Progress.
Within the Progress bar you can see the sub folder that is being backed up.
The entire Destination path where the items are being deposited can be seen.
You can hit the Pause button to temporarily halt the backup project.
In the Pause status the blue wifi icon transforms into a pause icon.
You can hit the Resume button to continue with the backup process again.
After hitting the resume button the status remains in Resuming... state for a while and then again changes to In Progess until completion.
In any of the previous states i.e. In Progress, Paused, or Resuming... the user has the option to end the backup prematurely. Hit the Stop button to do that.
As the Stop function can disrupt the backup users get an additional confirmation alert.
Choose Yes or No according to your requirement.
Yoch can see the status changes from Stopped > Completed
When the backup ends Users recieve a notification. Click on OK to close the box

Upon Completion the Stop and Pause buttons change to Home and View Report respectively.

The CSV report titled ConversionReport contains. The full list of all source accounts with the subfolder path, Item count and end Status.
Close the report and Return to the Backup tool.

The Backup History page has a tabular display of all User Email addresses, Mail Count, Failed Count, Status and a Action option.
By default the Action is preset to Skip Backup for each account.

You can assign different backup actions to each account and the tool behaves accordingly.
On Pressing the Next Button the main backup screen appears and you can continue from Step 5 onwards.
Select the radio button corresponding to "csv" labelled text.
Click on Advance Settings
Inside the csv Advance Settings only the General Settings Tab is available
Date filter: This is the filter that can be used to filter out the emails according to a fixed timeline.
Click on Save to confirm the filters.
Delete After Download: To delete emails from the server once the process is completed successfully.
Click on the Change button to browse the final destination of your resultant files. You can also create a New Folder by clicking on it.
On clicking the Start Backup button a license quota consumption alert pops up on the screen. It will show the number of available licences and the number of consumed licenses.
Click on Continue to proceed.
Note: This does not appear for demo version. Once a licence is consumed for an account you won't need additional licenses to backup data from the same account.
In the backup progress screen you can track the event in real time.
It displays the total mail count and the fail count.
A specific status criteria also exists whose default value is In Progress.
Within the Progress bar you can see the sub folder that is being backed up.
The entire Destination path where the items are being deposited can be seen.
You can hit the Pause button to temporarily halt the backup project.
In the Pause status the blue wifi icon transforms into a pause icon.
You can hit the Resume button to continue with the backup process again.
After hitting the resume button the status remains in Resuming... state for a while and then again changes to In Progess until completion.
In any of the previous states i.e. In Progress, Paused, or Resuming... the user has the option to end the backup prematurely. Hit the Stop button to do that.
As the Stop function can disrupt the backup users get an additional confirmation alert.
Choose Yes or No according to your requirement.
Yoch can see the status changes from Stopped > Completed
When the backup ends Users recieve a notification. Click on OK to close the box
Note: This alert only appears in case of full completion. If admins Stop the process only indication of completion is via the status column of the on screen dashboard.
Upon Completion the Stop and Pause buttons change to Home and View Report respectively.
To see the results click on View Report button.
This takes you to the Folder where the backup is stored. The location is your/chosen/path there a new SysTools IMAP Backup folder is made. Under which each email account has its own sub folder. Which further contains two folders Exported Items (Containing Data) and Export Report (Containing Report).
The CSV report titled ConversionReport contains. The full list of all source accounts with the subfolder path, Item count and end Status.
Close the report and Return to the Backup tool.
Click on Home button to return to the main screen.
In the main screen you can add New IMAP accounts in the same manner as explained in Step 4 of the guide.
You can toggle the History tab to check out all the previously backed up accounts and access the advanced backup options.
