Step by Step Guide to Backup M365 Data

Learn to use M365 Backup As A Service solution to backup and restore M365 data in a Azure blob storage.


Pre-Requisites:

STEP 1

From the Azure portal launch the tool on any browser of your choice.

Type “administrator” in place of the Login ID and Password then Press LOGIN. This default credential can be changed later from the built-in settings.

Click on the Create Project icon in the top right corner. A popup appears with options to fill in the Project Title and Description. If this is your first project, you should see a Create Project option on the main screen.

Enter the necessary details and press Save.

A new Project should appear in the list.

This M365 backup service allows admins to delegate permissions and expand access across the organization. Go to the Users tab there you have the option to add/edit/delete users who can conduct a backup operation on their own.

The admin contact details and app credentials can be updated in the profile tab. It has two subsections Basic Information and Account Security for their respective tasks.

Go back to the Project tab and open the new Project you made earlier.

Click On Project

Continue with the operation you wish to conduct. Note that Restoration is only possible if the Azure blob has a previously backed-up instance of your M365 Data.


Step by Step Procedure to Perform M365 Backup

STEP 1

In SysTools M365 Backup, navigate to the highlighted "Backup" section, and select "Workloads,". There you can view the available workloads for Email, OneDrive, Calendar, and Contact.

The backup tab allows you to perform an individual selection of different workloads. Meaning, if you want you can restrict the current backup operation to a particular item like:

After you allow the desired workloads for backup by checking the boxes you can also specify the date range for backup by clicking on the calendar icons next to each workload and selecting the desired start and end dates. Once done Press Next.

On the Credential page, you have to enter the required credentials. Before that click on Download Certificate for Azure to setup an Azure Project.

After adding the credentials click on the Validate button that is present in the box on the right-hand-side.

Once the Permission Validation is complete you can see a green dot next to the workload icons. Click Next to continue.

The Users tab is where the mapping takes place. You can use any one of the three available options which are as follows:

Depending on the mapping option you will see an intimidatory popup revealing the exact number of users that were found. Click OK and continue with the rest of the steps.

In the user preview screen, you can select the specific users you want to include in the backup by checking the boxes next to their respective email addresses.

You can use the search bar to quickly find specific users. Other than that there is Assign Priority. To enable it Click on the star icon next to a user's email to assign a priority level.

Once you've reviewed and adjusted the settings for all users, Click on the Validate button.

After Validation completes a popup appears indicating the outcome. Click on OK to continue.

You can verify the validation operation for each workload by checking the Source Permission column of the Preview screen. Once done Press Start Backup.

Again a popup appears to verify the start of the M365 backup Click on the Start button.

The status tab indicates the current account stance. A user account can be in any one of three tabs: Pending, In Progress, or Completed.

Once all the users are in the Completed tab the backup ends. You can see the amount of items backed up for each workload.

The Re-Run Backup subsection contains three different options: Retry Failed, Re-Run Full, and Delta.

Access the "Download Report" option to create comprehensive reports summarizing the backup process.

On the Schedule tab, you can check the box next to "Enable Backup Schedule" to activate scheduled backups.

You can configure the following:

  • Set Scheduling Frequency: Set Scheduling Frequency: Select the desired frequency for backups (daily or weekly).
  • Specify Backup Time: Choose the exact time (in 24-hour format) with a clock menu for the backup to run. Remember the time is set in UTC.

Click the "Save" button to confirm the backup schedule settings.

STEP 20

Upon opening the View schedule runs menu, you can observe the "Triggered On" column to view the timestamps of previous backup runs.

In the backup setting screen, you can adjust the slider (minimum 1, maximum 5, default 3) to specify the number of concurrent users to be processed per account during the backup process.

Step by Step Procedure to Perform M365 Restore

STEP 1

For restoring go to the highlighted "Restore" section, and select "Workloads,". There you can view the available workloads for Email, OneDrive, and Contact.

Note: Calendar Workload is currently unavailable for restoration.

Apply the Required Date Filter and Press Next.

On the Credential page, type in the necessary details. Before that click on Download Certificate for Azure to setup an Azure Project.

Note: You can re use the same app ID that was made during the Backup as long as Azure permission status is granted.

Once the Permission Validation is complete you can see a green dot next to the workload icons. Click Next to continue.

On the Users tab you have to re-map the data on Azure blob with its M365 account. You can use any one of the three available options which are as follows:

  • Fetch: Scans the Azure blob for all data and brings out the complete user list.
  • Import: Upload a pre-made CSV file with the required users (containing only those whose data was backed up).
  • Download Template: Get a blank CSV template and make a custom user list. Use it in conjunction with the Import option to add the members.

This opens the Preview Screen, there you can see all(Fetched) users in a list format. Mark the Box next to the account from where you want to pull the backup from.

A validation confirmation popup appears on the screen verifying the success of the operation and displaying the user count. Click on OK to continue.

Press the Start Restoration button on the top right corner.

Confirm by hitting the OK button on the popup box.

To view the current status of the restoration check these tabs: Pending, In Progress, and Completed.

After all accounts appear in the Completed category the restoration is done. You can Re-Run Restore in 3 different ways: Retry Failed, Re-Run Full, and Delta.

Toggle the Download Report option to view all Reports for the restoration operation. Choose between a Summary Report for a general overview or a Detailed Report for in-depth(account wise) restoration data.

Open the project and click on the Dashboard tab.

The dashboard provides a quick overview of the backed-up data, including counts, storage usage, and daily backup trends. Users can navigate to other sections (like Restore) for further actions.

Conduct Preliminary Search Inside Your Backup Data

The following set of steps explain how this BAAS can help conduct a object level search of various components inside the Azure blob backup of M365 data.

STEP 1

Open the project where you wish to conduct your search and click on the Search tab. By default this opens a list of all emails present in the first account. Click on the Hierarchy icon next to the search bar.

You can see a folder structure on your left hand side. Use the pane for navigation purposes and check the header data of required items. Under the main User name you have separate folders for Emails, OneDrive, Contacts, and Calendars.

The OneDrive tab/DocumentsFolder contains the data backup from OneDrive Account including attachments, Apps, Calendar Details, Email Data, MS Teams Chat Files.

The Calendar tab contains event information about the what, who, and where under Subject, Organizer, and Location columns respectively.

In the Contacts category you can find all the communication details like Name, Email address, Phone number of other people.

When you tap on the Funnel icon a search window opens. Use this when you wish to conduct complex searches. You have the option to include multiple filters like Add Group, Add Condition and Apply Negation to A Group.

The Email workload has the maximum number of Fields to choose from including, Subject, BCC, CC, Received On, etc.

Like Wise OneDrive, Calendars, Contacts have their own respective Fields that can be selected. Add multiple filters simultaneously using the Custodians and Filter (OR) options at the top of the interface to refine the search results. Click on Apply.

Once you apply the selections the Filter box closes on its own and brings forward the Search results on the screen.
